Getting Started Overview

An overview of how to create, build out, and license a Biamp Workplace organization. Please see, Biamp Workplace Overview if you are not already familiar with Biamp Workplace and its platforms.

 

 

Getting started description

1. Create a Workplace account

A Biamp Workplace account is required for using Biamp Workplace. Both in administrator and end-user roles.

2. Read the Recommended Preparations topic

This page covers Biamp Workplace's sandbox practice and design space, naming schemes, the audiovisual space design app, a plan for acquiring licenses, as well as having image and floor plan files ready for generating interactive maps and Overview screen displays and email lists for inviting users.

3. Create a Workplace organization

After creating a Workplace account, you will be given options for creating a new Workplace organization or joining an existing one.

What is a Workplace organization?

An organization is an administrative system consisting of locations where booking, audiovisual, and other devices can be assigned for monitoring and managing, as well as booking management. The organization can be as simple as a single floor with a conference room and a pair of bookable work desks, or consist of multiple campuses with seval buildings, each with multiple floors, and each of those populated with audiovisual devices and bookable spaces.

What are the major user roles in an organization? 

The person creating the organization is the initial system owner and has owner rights in the organization. Once the organization exists, the initial owner can invite additional users and assign levels of administrative rights or owner rights to individual users.

You can create and manage multiple organizations using your Biamp Workplace account.

To join an existing organization, you will either need to accept an emailed invitation or you will need the Organization ID supplied by a system administrator to request to join.

The Web Portal organization console

Creating or joining a Workplace organization takes you to the organization's console in the Workplace web portal. For information on the console administrative functions, see Organization Console Admin Overview.

 

 

4. Use the "Get started" guide

Two setup guides are visible for administrative users and owners in the organization's web portal console under the Support tab. The Get started guide prompts administrative users to do following:

  • Add licenses to enable management, monitoring, and booking device functions connected to Biamp Workplace locations.
  • Add locations where devices will be installed.
  • Download the "Biamp Workplace Booking mobile app" from an app store.
    • The mobile version of the Booking app is used for discovering and adding room and desk manager devices to Biamp Workplace organizations using RFID scanning.

5. Use the "Other Actions" Guide

This guide prompts administrative users to:

 Add floor plans

  • Add user-facing floor plans to make locating desks and rooms easy for system users.

Add overview screens

  • These are intuitive screens for public monitors on floors showing the status and locations or directions to bookable rooms, desks, and parking spaces.

6. Connect and assign AV devices using the Workplace Tools desktop app 

After following the setup guides, the last major operation is connecting audiovisual and any internet gateway bridge devices to the organization and assigning these to locations. This is done using the Biamp Workplace Tools Desktop App.

 

 

7. Configure global space booking settings for the organization (optional)

Set when and how booking assets can be booked across the entire organization. This includes hours of operation, digital identification requirements, and more.

8. Set the booking parameters for individual top-level locations in the Workplace organization.

This allows booking parameters, such as hours of operation, to be site or building-specific or to make exceptions to the organization's global availability settings.

9. Sync booking devices with Outlook or Google Meeting calendars (optional)

Syncing allows booking devices for desks and meeting rooms to be booked using Outlook or Google Meeting. For information, please see our technical support knowledge base calendar integration articles: Integrations for Biamp Workplace. 

 

 

10. Add users to the system

Users are added by batch invite or individually added to the system using the invitation function found in the admin console in the Biamp Workplace admin web portal. For more information, please see: Workplace User Roles Overview and Inviting New Users.

 

 

Ready for operations

You can now manage the organization, its users and licenses, monitor and manage audiovisual, bridge, and booking device operations remotely or on-site, and grow the system as needed.
